2025 Conference Volunteers

Get the most out of your AHEPPP membership experience and volunteer at the 2025 Family Engagement in Higher Education National Conference! The conference success relies on a large number of colleagues to make it an impactful and rewarding experience for all. We appreciate any and all volunteers!

Volunteers are needed to serve in a variety of ways. Below you will find a general description of duties for each volunteer position:

Volunteer Position Volunteer Description
Check-in/Info Desk Volunteer You’re the welcoming committee! Help conference attendees get checked in, hand out name tags, and share any need-to-know info. Be sure to encourage everyone to download the conference app if they haven’t already—it’s the best way to stay on track. Throughout the event, you’ll also be a go-to resource for questions, directions, and general support.
Way Finding Volunteer You’re our navigators—just like Moana charting her course, you’ll guide attendees to where they need to be. Offer warm greetings and point folks toward key locations like session rooms, restrooms, and the hotel service desk. Way finders are often the first friendly face attendees see, so channel that brave, helpful spirit and make the journey smooth for everyone.
Programming Expo Volunteer Assist Programming Expo participating by directing them to the correct booth, answering questions, and providing support with any set-up needs.
Power Hour Volunteer This year, AHEPPP is thrilled to introduce our inaugural Power Hour, a dynamic and engaging twist on traditional Zumba classes. Recognizing that many attendees enjoy staying active while mingling and networking during the conference, we’ve created a unique opportunity for you to lead a “Zumba”-style class as our first volunteer. This is your chance to inspire your peers through movement and fun! Remember, certification is not required; the goal is simply to bring energy and joy to our gathering while promoting a healthy lifestyle. Join us in making this conference not only informative but also invigorating!
Educational Session Volunteer Support our presenters and help sessions run seamlessly. You’ll introduce speakers, distribute materials if needed, give gentle time warnings, and assist with audience Q&A. If there’s a tech hiccup, you’ll be the one to contact hotel AV. Please arrive 5 minutes early to your assigned session and do a quick headcount—then share that info (plus any great session photos!) with the Planning Committee.
Welcome Session Volunteer You will help create a warm, welcoming atmosphere at our Welcome Reception by staffing one of five key areas: Treat Station, Drinks/Bar Station, Postcard Station, First-Timer Meet-Up Station, or Networking Dinner Sign-Up Station. Please arrive at the pool area 30 minutes before the event begins (4:00 PM) for a quick briefing and station assignments. Your role is to greet guests, assist with your station’s activity, and help ensure everyone feels included and informed throughout the evening.
